🌞 About The Project

Kaboo is a startup bridging the multigenerational long-distance gap between families by transforming digital messages into physical cards.
Kaboo needs an internal admin portal that allows employees to manage orders, logistics, and global printing.

Design Constraints

  • Desktop only
  • Has existing design system
  • Portal runs on a backend system
  • Some area needs manually input

For Who

Kaboo employees

The Goal

Develop a desktop admin portal for internal employees to save time on organizing online orders, setting up printing vendors, and replenishing digital card inventory.

🏅Final Impact

Worked as a team with two other designers, two developers, and stakeholders for two months to build the internal portal for employees from the ground up. This helped the business improve workflow efficiency by 50%. The project was categorized into three separate features, and a new design system was built.

Find Out Similar Admin Portal

After discussing the problem with stakeholders and considering the given timeframe, we decided to conduct secondary research first to find references for admin portals in similar markets.

Understand the Users

Understanding my target users is the core principle. We created a persona based on stakeholder input, developed a sitemap for the overall structure of the admin portal, and identified a critical problem to solve.

Understand the Business Workflow

After a few meetings with stakeholders, we gained an understanding of the current workflow and created a story map along with two selected user flows to meet business needs.

Discover Problem

Staying organized with online card orders and partnership statuses is crucial. As the company receives orders online and collaborates with various printing vendors and artists globally, managing and tracking the status of orders and projects has been challenging.

Sketches

Based on the information we gathered and the research we conducted, we created a few sketch options for the 'Checking Orders' and 'Add a Printer' user flows.
After the meeting, we analyzed the pros and cons of the ideas and combined them all to create the final sketch for the user flows.

Created A New Style Guide

Kaboo has an existing design system. I adapted the base colors and one neutral color and created a new style guide for the admin portal with updated typography and components. I led and constructed foundation framework and component library.

New Features Makes System Manageable

Designed a few features based on the research. The following are the features I created to make the system more effective and seamless.

High Fidelity & Prototype

The following is the final high fidelity design and prototype for the 3 user flows.

Iterations

We tested it with the stakeholders, and based on their feedback, we made the following changes:

⇥Next Steps

Once all categories are fully developed and expanded, the dashboard concept will be implemented in detail as the next step.

🧠 Reflection

  • Communication is key between cross-functional teams.
  • Understanding the workflow of the business is fundamental.
  • Spending time to understand the workflow is essential, as each business operates differently.
  • Conduct more usability tests and gather as much feedback from users as possible.
